Here’s the first thing to know about Smart Square: your hospital decides where you log in. There’s no single public sign-in page, so the address, account details and sign-in method all come from your employer.
Some portals ask for a username and password. Others show a Continue to SmartSquare button and send you through your organization’s own sign-in. Find your employer in the list below, then follow their current instructions.
Find your Smart Square login portal
The safest starting point is the link your employer gave you, whether that’s on the intranet, in your onboarding packet or from the IT help desk. These organization-specific pages turned up during our review:
| Organization | Login link | What you’ll see |
|---|---|---|
| SSM Health | SSM Smart Square login | Login and password fields; password recovery |
| Hackensack Meridian Health | HMH Smart Square login | Continue to SmartSquare; Alternate Login |
| The University of Kansas Health System | Kansas Health System Smart Square login | Continue to SmartSquare |
| UofL Health | UofL Health Smart Square login | Login and password fields; recovery instructions |
| Wellstar | Wellstar Smart Square login | Continue to SmartSquare |
| ThedaCare | ThedaCare Smart Square login | Continue to SmartSquare; Alternate Login |
| Renown Health | Renown Smart Square login | Continue to SmartSquare; password-reset contact |
Each page has its own sign-in options and support details. If your employer gave you a different address, trust that one and confirm it with IT if you’re unsure.
HMH employees can also read our Hackensack Meridian Health Smart Square guide.
Don’t see your employer?
Ask your manager, staffing office or IT help desk for the current link.
We couldn’t confirm current public Smart Square sign-in pages for Mercy, AdventHealth or Penn State Health, so we haven’t listed them as verified. That doesn’t mean their portals don’t exist. It just means we won’t send you to a link we couldn’t check.
And please don’t guess a hospital’s address from its name. Bookmark the one your employer confirms.
How to log in to Smart Square
Once you’re on the right portal, follow whatever the page shows.
Username and password
- Open your employer’s scheduling portal.
- Enter your assigned username.
- Enter your current password.
- Click the login button.
- Complete any extra verification your employer asks for.
Your username may not be your email address. UofL Health, for example, tells its staff to enter an employee ID. That’s specific to them, not a rule for everyone.
If your browser autofills the fields, double-check that it picked the right account and the current password.
“Continue to SmartSquare”
Click it and follow your organization’s prompts. You’ll see this button on several portals, including Meridian, Wellstar and ThedaCare. If you land on an employer sign-in screen, use the work account your IT team specified, and complete multifactor authentication if it’s required.
What is “Alternate Login”?
Some pages, including Meridian and ThedaCare, show an Alternate Login option next to the main one. Check with your employer before using it. The button doesn’t mean you have a second account, and it isn’t a way around work-account verification.
Forgot your Smart Square password?
Start by working out which account you normally sign in with.
| How you usually log in | Where to start |
|---|---|
| A separate Smart Square username and password | The recovery option on your organization’s portal, if there is one |
| Your employer’s work account or SSO | Your employer’s work-account recovery process |
| Not sure which applies | Your IT help desk |
SSM’s public page has a password recovery option. UofL Health publishes more detailed steps, including using your UofL Health email address in lowercase. Follow the instructions for your own organization.
If the recovery email never arrives, check your work inbox and spam folder. If it still isn’t there, ask IT to confirm which email address is on file.
Renown users can call the Renown Help Desk at 775-982-4042 for password resets, as listed on their public Smart Square page.
Forgot your username?
Look through your onboarding documents, or ask IT. Don’t assume your work email, employee ID and scheduling username are the same thing, because at many places they aren’t.
Account locked or disabled?
Stop retrying the same login. Contact IT and ask whether the problem is with your work account, your Smart Square access, or both.
You may read that accounts unlock after a set number of minutes. We couldn’t verify that as a universal rule, so don’t count on it.
Smart Square login not working? Troubleshooting
Start with the exact message on your screen. These are general checks, and none of them confirms an outage.
| Problem | Check first | Who can help |
|---|---|---|
| Invalid username or password | Right portal, typos, Caps Lock, saved credentials | IT help desk or your password recovery service |
| Keeps redirecting you | Your employer’s current link; try a fresh browser session | IT, if it continues |
| Verification fails | Your employer’s authentication steps and access to your verification method | Employer IT |
| Access denied or account disabled | Whether your account has the access it needs | Employer IT or an account administrator |
| You can log in but the schedule is missing | Selected dates and the department you expected | Your scheduler or manager |
| Portal won’t load | Your internet connection and whether other sites open | IT, if it stays down |
| App and phone calendar disagree | The schedule shown directly in Smart Square | Your scheduler |
For browser trouble, close old sign-in tabs and reopen the portal from your intranet. You can also try another browser your employer allows, or clear cookies for that site only. Clearing cookies signs you out, so keep your account details handy. Please don’t change workplace security settings just to force a login.
If you have a shift coming up and you’re locked out, call your staffing office or manager while IT works on it. Don’t wait for the login to be fixed first.
Check your schedule in Smart Square
After signing in, look for My Calendar. It’s where you view your schedule and, where allowed, submit requests or pick up shifts.
Pick your dates and open a shift to see the details. You can switch between day, week and month views. The menus depend on your access level, so your screen may look different from a coworker’s.
If a shift is missing or looks wrong, tell your scheduler the date, department and shift you expected.
Self-scheduling, open shifts and time off
Smart Square supports self-scheduling and open-shift management, but what you can do depends on how your organization set it up. The user guide also describes requests like PTO, trades and schedule changes, and some users will see a self-scheduling menu if that feature is turned on.
Go through your department’s approval process. Sending a request doesn’t mean it’s approved.
Smart Square mobile login and app downloads
On your phone, you can start with your employer’s browser portal or ask whether they recommend Smart Square Go. The user guide says the calendars are built for both desktop and mobile, including smartphones and tablets.
Download Smart Square Go
| Device | Download |
|---|---|
| iPhone | Smart Square Go on the App Store |
| Android | Smart Square Go on Google Play |
The iPhone listing names symplr software LLC as the developer and says you need an active Smart Square account. Installing the app doesn’t create one.
According to its description, the app covers shift pickup, scheduling requests, calendar integration, and sign-in with SSO and Active Directory. Your employer decides which features you actually get, so follow their setup instructions.
App not working?
First, check the store listing for an update. Your installed version is shown on the login screen and under your name > Support. When you report a problem, mention your phone model, operating system and app version.
If the browser works but the app doesn’t, say so. It tells support whether it’s an app issue or an account-access issue.
Sync your schedule with your phone’s calendar
Smart Square Go’s guide describes calendar subscriptions that show your shifts in your phone’s calendar.
The difference matters here. A subscription can pick up later schedule changes, but a one-time download can’t. Even with a subscription, updates can lag, so check Smart Square directly to confirm a changed shift. The calendar only displays your shifts. You still need the app or web portal to submit requests, pick open shifts or take part in scheduling.
Can Smart Square Go work offline?
Partly. If your connection drops after you’ve signed in, some loaded views, like calendar information or messages, may stay visible.
You can’t pick up shifts or request trades offline, and you need a connection to sign in if you’ve been logged out. What you see offline may not reflect a recent change, so don’t treat it as the final word.
Support contacts
These numbers appeared on the public portal pages we reviewed. They’re not a universal Smart Square help desk, so use the one for your own organization.
| Organization | Contact | What it’s for |
|---|---|---|
| Hackensack Meridian Health | 732-776-4442 | Login issues; leave a message. Listed hours: Mon–Fri, 7 a.m.–5 p.m. |
| The University of Kansas Health System | 913-945-9999 | HITS Service Desk for technical problems |
| The University of Kansas Health System | 913-588-6550 | RMC for staffing concerns |
| UofL Health | 502-562-3637 | IT Help Desk for ongoing login problems |
| Renown Health | 775-982-4042 | Password resets |
Confirm current details on your employer’s portal or intranet before calling.
When you do get in touch, include the portal URL, the exact error, your device, and whether it happens in the browser, the app or both. Never share your password or authentication codes.

Frequently asked questions
Is there one Smart Square login for every hospital?
No. Use the portal your employer assigned. The organizations above all have separate addresses and different sign-in options.
Can I sign in with my work email?
Only if your employer tells you to. Some organizations use something else, like UofL Health’s employee ID.
How does a new employee get access?
Ask your manager or IT team how scheduling access is assigned. This site can’t register employees or activate accounts.
Is Smart Square Go on both Android and iPhone?
Yes, it’s on Google Play and the App Store. Check each listing for device compatibility.
Do I have to stop using the website once I install the app?
No. The Smart Square Go guide says the web version is still available. Follow your employer’s recommendation.
Do I need a VPN to log in from home?
Follow your employer’s remote-access instructions. We can’t say there’s a VPN requirement for every organization.
I got a new phone and can’t complete verification. Now what?
Contact your IT team so they can restore your authentication method. And don’t approve sign-in prompts you didn’t start.
Why can I log in but not see my department?
Ask your scheduler or manager to check your assigned access, and tell them which department and schedule you expected.
Why does my phone calendar show an old shift?
You may have downloaded the schedule once instead of subscribing, or the subscription hasn’t refreshed yet. Check Smart Square directly.
Is Smart Square down right now?
A failed login alone doesn’t prove an outage. Check your employer’s IT notices or call their service desk. This article isn’t a live status page.
Can this website recover my account?
No. Password recovery and account access go through your organization’s approved process.
What if I can’t check a shift that starts soon?
Call your staffing office or manager to confirm your assignment while IT sorts out the access problem.
